2. Information We Collect
2.1 Information You Provide
We collect information that you voluntarily provide when using the Service, including:
- Account Information: Name, email address, phone number, and authentication credentials when you create an account.
- Artist Profile Data: Stage name, biography, genres, instruments, act type, pricing, headshot, media links, social media URLs, city, state, and other profile details.
- Booking and Contract Data: Event details, venue information, performance dates, compensation terms, and contract documents.
- Financial Data: Earnings, commission rates, payout information, gig budgets, and expense records managed through the Service.
- Gig Hub Data: Gig details (band name, venue, address, timeline, sound/lighting requirements, hospitality needs, dress code), member invitations, budget information, setlists, and chat messages.
- Audience Data: Fan subscriber information (phone numbers, email addresses, names) collected through the SMS Text List and Email List tools.
- Coach Application Data: Professional experience, qualifications, specialties, references, and other information submitted through the coach application process.
- Communications: Messages, notes, chat messages within gigs, and correspondence you create within the Service.
- Payment Information: Subscription and payment data processed through Stripe. We do not store your full credit card numbers on our servers.
2.2 Information from Third-Party Services
When you connect third-party services to the Service, we may receive information from those services, including:
- QuickBooks Online: Customer records, vendor records, invoices, bills, and payment data.
- Google Calendar: Calendar events and scheduling data.
- Google Workspace: Email metadata for communications sent on your behalf.
- Stripe: Subscription status, payment confirmations, and customer identifiers.
2.3 Location Information
We collect and process the following location-related data:
- Self-Reported Location: City, state, and country that you provide in your profile. This information is voluntary and can be edited or removed at any time from your profile settings.
- Derived Coordinates: We use a geocoding service (powered by Google Maps Platform) to convert your self-reported city and state into approximate geographic coordinates (latitude and longitude). These coordinates are used solely for proximity-based search features, such as finding artists near a specific location. We do not track your real-time GPS location.
- Timezone: Your timezone is automatically detected from your browser settings (using the standard Intl API) when you log in. This is used to display dates and times in your local timezone throughout the Service. You can view and update your timezone in your account settings.
- Locale: Your browser's language/locale preference (e.g., "en-US") is detected to format dates, numbers, and currency appropriately.
What we do NOT collect: We do not use GPS, Wi-Fi triangulation, cell tower data, or IP-based geolocation to determine your precise location. We do not track your movements or location history. The coordinates stored are derived only from the city/state you voluntarily provide.
2.4 Automatically Collected Information
When you access the Service, we may automatically collect:
- Browser type and version
- Device information
- IP address
- Timezone and locale preferences (as described in Section 2.3)
- Pages visited and features used within the Service
- Date and time of access
- SMS delivery status and message metadata (not message content to third parties)
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including the Artist Portal, Gig Hub, and audience tools.
- Process and manage artist bookings, contracts, offers, and gig coordination.
- Process subscription payments and manage billing through Stripe.
- Send SMS notifications and invitations through Twilio on your behalf.
- Facilitate audience communications (SMS blasts and email campaigns) initiated by artists to their subscribers.
- Synchronize data with connected third-party services (QuickBooks, Google Calendar, Stripe).
- Generate reports, analytics, financial insights, and pricing suggestions related to your entertainment activities.
- Process and evaluate coach applications.
- Communicate with you about your account, updates, and Service-related matters.
- Improve and develop new features for the Service.
- Ensure the security and integrity of the Service.
- Comply with legal obligations.
4. How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
- Third-Party Service Providers: We share data with services that help us operate the Service, including Stripe (payments), Twilio (SMS), Google (calendar/email), and cloud hosting providers. These providers are contractually obligated to protect your data.
- Within the Platform: Certain information is shared between users as part of the Service's functionality:
- Your public artist profile is visible to other users and visitors of the artist directory.
- Gig details are shared with invited members of that gig.
- Chat messages within a gig are visible to all gig members.
- Your compensation details within a gig are visible only to you and the band leader.
- With Your Consent: We may share information when you explicitly authorize us to do so, such as when sending offers, contracts, or invitations to artists.
- Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
5. Audience Subscriber Data
When artists use the SMS Text List and Email List tools, they collect subscriber data (phone numbers, email addresses, names) from their fans. Regarding this data:
- Artists are the data controllers for their audience subscriber lists. BJE acts as a data processor.
- Artists are responsible for obtaining proper consent from subscribers before adding them to lists.
- Subscriber data is stored securely and is accessible only to the artist who collected it and BJE administrators.
- Subscribers can opt out at any time, and artists must honor opt-out requests promptly.
- BJE does not use audience subscriber data for its own marketing purposes.
- If an artist's account is terminated, their audience subscriber data will be retained for 30 days before deletion, during which time the artist may request an export.
6. Payment Data
Subscription payments are processed through Stripe. When you subscribe to premium features:
- Your payment card details are collected and processed directly by Stripe. BJE does not store full card numbers, CVVs, or card expiration dates.
- We store only Stripe customer identifiers and subscription status for account management.

7. Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (HTTPS/TLS), secure authentication, session management with JWT tokens, access controls, role-based permissions, and regular security assessments. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. Specific retention periods include:
- Account data: Retained while your account is active and for 90 days after deletion request.
- Financial records: Retained for 7 years as required by tax and accounting regulations.
- SMS logs: Retained for 2 years for compliance and dispute resolution.
- Chat messages: Retained for the lifetime of the associated gig plus 1 year.
- Coach applications: Retained for 3 years regardless of approval status.
When data is no longer needed, we will securely delete or anonymize it.
9. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal retention requirements.

- Objection: Object to certain processing of your personal information.
- Withdrawal of Consent: Withdraw consent where processing is based on consent.
- Audience Data Export: Request an export of your audience subscriber lists.

10. Third-Party Integrations
The Service integrates with third-party platforms. When you authorize these integrations, data is exchanged between the Service and these platforms according to their respective privacy policies:
10.1 Google Maps Platform
The Service uses the Google Maps Platform (including the Geocoding API) to convert self-reported city and state information into geographic coordinates for proximity-based search features. Your use of these features is also subject to Google's Terms of Service and Privacy Policy:
We do not send your real-time location to Google. Only the city and state text you provide in your profile is sent to the Geocoding API to obtain approximate coordinates.
You can disconnect these integrations at any time through the Service settings. Disconnecting will stop future data synchronization but will not automatically delete previously synced data from the Service.
11. Cookies and Tracking
The Service uses essential cookies for authentication and session management. These cookies are necessary for the Service to function and cannot be disabled. We also use analytics tools to understand how the Service is used and to improve the user experience. We do not use third-party advertising or tracking cookies.
12. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information.
13. California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information.
